AI Adoption That Protects Your Data as Well as Your Time

AI is already in your business. Not because you bought it, but because someone on your team found a tool that saved them an hour and started using it. That is not a disciplinary problem, it is a sign your people are trying to work faster. The difficulty is that nobody has told them where the line is, and in the meantime company information is going somewhere you cannot see.

We help you find out what is actually happening, fix the gaps that make it risky, and give your team a way to use AI that does not put your data or your client relationships at stake.

Your Staff Are Already Using AI. The Question Is Whether You Can See It.

These risks are rarely dramatic. They are ordinary people trying to get work done faster, without anyone having told them where the line sits.

Company Information Going Into Public AI Tools

Someone pastes a client contract into a free AI tool to summarise it. Someone else drops in a spreadsheet to tidy the formatting. It saves twenty minutes and feels harmless. In the consumer versions of most AI tools that content can be retained and used to train the model, which makes it a confidentiality problem with your clients and a data protection problem with the ICO. Almost nobody doing this knows that, because nobody has told them.

Copilot Surfacing Files People Were Never Meant to Find

Microsoft 365 Copilot does not break your permissions. It respects them exactly, which is the problem. Years of sharing links with anyone who has them, and forgotten site access, mean most businesses hold content their staff can technically reach but would never have gone looking for. Copilot goes looking on their behalf. Salary data, HR files and board papers routinely surface this way within days of switching it on.

No Policy, So No Way to Say No

Without a written AI policy you cannot fairly challenge misuse, you cannot answer a client who asks how you handle their data, and your staff have no way of knowing what is allowed. AI questions now appear routinely in tenders, insurance renewals and client due diligence questionnaires, and having nothing written down is an answer that costs work.

Fakes Good Enough to Fool Your Finance Team

The same tools helping your staff write emails are helping criminals write better ones. The spelling mistakes and odd phrasing that used to give phishing away have gone, and voice cloning from a few seconds of audio is cheap and convincing. The defence is no longer spotting the dodgy email, it is having a verification step that does not depend on recognising a fake.

Getting AI Right Is a Process, Not a Purchase

We work through it in a set order, because writing the policy before you know what is in use solves nothing.

Find Out What Is Already in Use

We start by establishing which AI tools your business is actually using, which accounts are connected to your Microsoft 365 tenant, and where company data has been going. No blame attached. The point is to replace guesswork with a list you can act on.

Get Microsoft 365 Ready Before Copilot

We review sharing links, external guests, orphaned sites and permissions across SharePoint and OneDrive, and close down the oversharing that builds up over years. This is worth doing whether or not you ever turn Copilot on, because every one of those open links is already a risk. If you do turn it on, it is the difference between a useful assistant and an embarrassing one.

An AI Policy Written for Your Business

Not a template with your name at the top. A short, readable document setting out which tools are approved, what information must never go into them, who to ask when someone is unsure, and what happens to anything created with AI. Written so your staff will actually read it, and solid enough to put in front of a client or an insurer.

A Sanctioned Tool, and the Training to Use It

Banning AI does not work. It moves the activity onto personal phones where you can see none of it. We help you put an approved, properly configured tool in front of your team, one that does not train on your data, and brief your staff on where the line sits, so you get the productivity without the exposure.

AI Readiness FAQs

We would advise against it. Blocking drives usage onto personal devices and personal accounts, where you have no visibility and no recourse. A sanctioned tool with clear rules gives you the benefit and the control. Blocking gives you neither.

Yes, and increasingly for commercial rather than legal reasons. Clients, insurers and tender processes are asking for it. A policy is also what lets you deal with a problem fairly if one arises, because without one you have no agreed standard to point to.

It is, once your permissions are in order. The risk is not Copilot itself, it is what your existing sharing settings allow it to find. We run a readiness review first and fix what it turns up, then you can deploy with confidence.

There is no UK AI Act. Your obligations come from existing law, principally UK GDPR and the Data Protection Act 2018, overseen by the ICO, which applies to personal data whether or not AI is involved. If you have customers or staff in the EU, the EU AI Act may also apply to you. We are IT specialists rather than solicitors, so for anything contentious we will tell you to take legal advice.

A review of your Microsoft 365 tenant and sharing permissions, an inventory of the AI tools actually in use across the business, a Copilot readiness rating with the specific blockers, an AI acceptable use policy written for your business, and a prioritised remediation plan with effort estimates. We finish with a 60 minute session walking you through the findings. Turnaround is 10 working days from access being granted, and it needs very little of your team’s time.

The assessment is a fixed price based on the number of users: £1,950 for up to 25 users, £2,950 for 26 to 50 users and £3,950 for 51 to 100 users, all excluding VAT. The price is agreed before any work starts. If you go ahead with the remediation work within 60 days we credit the assessment fee against it. Remediation is quoted separately once you have seen the findings, so you are never committing to work before you know what it is for.

Simputers repaired my 5-year-old laptop which had up until that point been running very slowly and crashing frequently. Simputers installed the latest version of Windows and got my machine working perfectly while also backing up and restoring my data, so I didn’t have to worry about losing anything.

The repairs were carried out in just a couple of hours and I was left very happy and satisfied with the entire experience. This saved me a lot of money as I was seriously considering buying a new computer beforehand. I would definitely recommend them to anyone!
